How to schedule employees across multiple locations

Multi-location scheduling becomes difficult when the same employee pool can work at several sites but each site has independent demand. The key is to separate employee suitability from the location where a person is actually assigned.

Define stable location names

Use one consistent location record for each site or operational area. Avoid duplicate labels for the same place because staffing minimums and employee preferences depend on those records.

Record employee location suitability

Capture which locations an employee likes, dislikes, or can flex between. This describes scheduling suitability, not where the employee is automatically counted.

Set location-specific demand

Define the minimum people required at each relevant location and shift template. This prevents one overstaffed site from hiding a shortage at another.

Assign and count the actual location

The actual assignment location should determine where the employee counts for coverage. Preferences are an input; the assignment is the operational result.
